What to Confirm in a Tractor Booking Specification

A tractor booking should refer to a clear equipment description. The familiar model name is useful, but the drive type, version and included items also need to be recorded. Prepare one specification sheet that can accompany the enquiry and subsequent commercial documents.
Describe the proposed supply
Write the full model designation and configuration. List optional or separately priced items individually, rather than assuming that everything visible in a photograph is included. Mark any item still awaiting technical confirmation.
If the buyer is retaining an implement, identify it and obtain an appropriate compatibility review. Booking a tractor does not by itself confirm that every existing attachment will suit the new machine.
Keep a concise booking file
- Dated quotation and its reference.
- Confirmed model, drive type and version.
- Itemised accessories and implements.
- Buyer requirements that affect the specification.
- Written answers to outstanding technical and supply questions.
Use the current offer to establish commercial details. Do not carry an older price, expected availability or delivery statement into the booking without fresh confirmation.
Review changes before proceeding
If the specification changes, ask for the relevant documents to be revised. Keep the previous version marked as superseded so the buyer and supplier can identify the current agreement.
For example, adding a front attachment may require more than another line on a price list. Its installation and suitability need confirmation for the exact tractor. Keep those answers with the booking record. Payment instructions, cancellation arrangements and other commitments must come through the actual authorised commercial process; this checklist does not create terms or replace the documents governing a particular order.
